Reservation and Cancellation Policy

By making a reservation with Coodlie Park Eco Retreat, you agree to comply with the following terms and conditions in full. Please contact us if you have any questions or need further clarification before making your booking.
 

Booking Acceptance

All bookings are subject to availability and acceptance by Coodlie Park Eco Retreat.
 

Coodlie Park Eco Retreat reserves the right to decline, cancel, or refuse a booking where the booking is not suitable for our property, campground operations, guest safety, animal safety, staff safety, or our short-stay accommodation model.
 

Maximum Stay Policy

Coodlie Park Eco Retreat operates as short-stay accommodation only. The maximum booking stay is 28 days.
 

All bookings are required to be made through our approved booking system and are subject to our standard short-stay accommodation terms and conditions.
 

Reservation and Cancellation Policy

All accommodation purchases are non-refundable, subject to Australian Consumer Law.
 

Date changes are subject to availability. If the guest cancels, there is flexibility for one accommodation date change to another date of equal or lesser value.

Date changes must be approved by Coodlie Park Eco Retreat and are not guaranteed.

Full payment is required at the time of booking to secure your reservation.

No refund or credit will be issued for late arrivals, early departures, change of mind, weather conditions, unused nights, unused facilities, or failure to comply with these terms and conditions.
 

Guest Identification

Reservations must be made by individuals over the age of 18. A valid form of identification and the credit card used for booking must be presented upon arrival.
 

Coodlie Park Eco Retreat reserves the right to copy or record identification details for security, verification, and booking management purposes.
 

Payments

Full payment is required at the time of booking to secure your reservation.

We accept major credit and debit cards, as well as cash for in-person purchases.
 

All prices are in Australian dollars and include GST, unless otherwise stated.
 

Cottage Deposit Policy

Deposits for cottages will be charged as follows:
 

$100.00 card charge
$150.00 cash payment

 

The deposit will be refunded upon satisfactory check-out and returned via the original payment method.
 

Card refunds will appear in 3–5 business days. Please talk to your bank for more information on refund waiting times.
 

Coodlie Park Eco Retreat reserves the right to withhold part or all of the deposit if there is damage, excessive cleaning required, missing items, rule breaches, or unsatisfactory check-out.
 

Check-In and Check-Out Policy

Campground check-in: 1:00 pm
Cottage check-in: 2:00 pm

 

Cottage check-out: 10:00 am
Campground check-out: 11:00 am

Early check-in and late check-out are not guaranteed and must be approved by Coodlie Park Eco Retreat. Additional fees may apply for early check-in, late check-out, or unauthorised late departure.

Guest Check-In

All guests must check in at the office during office hours. For after-hours arrivals, all guests must sign in via the QR Code and follow the contactless check-in procedure provided.

Guests must not enter or set up on a campsite without completing the check-in process.

Campground Rules

Campfires are only allowed in designated areas and must be attended at all times.

Fire ban season is from October to April and restrictions do apply during this time.

Fires (for cooking or comfort) are not permitted on Total Fire Ban days.

Quiet hours are enforced between 11:00 pm and 6:00 am.

Guests are expected to respect other campers, staff, animals, wildlife, facilities, and campground property.

Any disruptive, unsafe, aggressive, inappropriate, or disrespectful behaviour may result in immediate eviction without a refund.

Campsite Set-Up

Campsites must remain clean, tidy, and safe at all times.

Coodlie Park Eco Retreat reserves the right to request that guests remove or adjust any campsite setup that is considered unsafe, unsuitable, excessive.

Pets and Dogs

Coodlie Park Eco Retreat is pet friendly, however pets must remain under effective control at all times.

Dogs are not permitted to be off lead 24 hours a day and must be supervised at all times to ensure that they do not disturb other guests, wildlife, farm animals, staff, or property.

Guests are responsible for cleaning up after their pets immediately.

Coodlie Park Eco Retreat reserves the right to refuse or cancel a booking if pets are considered unsuitable, unsafe, disruptive, or not under effective control.

Water, Waste, and Facilities

Campground guests are responsible for their own drinking water, personal supplies, camping equipment, rubbish disposal, and day-to-day self-sufficiency.

Guests must use bins, recycling stations, and waste facilities responsibly.

No Dumping Allowed: Chemical toilet waste, and grey water must be taken off site for disposal.

Campsites must remain clean, tidy, and safe at all times.

Liability and Risk Warning

Stays at Coodlie Park Eco Retreat, and participation in any event or activity at is at your own risk. Coodlie Park Eco Retreat is not responsible for injury, loss, or damage sustained during events, activities, accommodation stays, campground stays, or recreational activities.

Activities may involve natural risks including uneven terrain, low lighting, wildlife, farm animals, insects, snakes, changing weather, falling branches, remote location risks, and limited mobile reception.

Guests with medical conditions should seek advice from a healthcare professional before taking part in activities.

Risk Warning

Park management wishes to warn all patrons who engage in activities on or in the vicinity of Coodlie Park Eco Retreat that the pursuit of such activities may involve the risk of harm and/or serious personal injury, including death.

Prior to undertaking any such activities, all occupants, guests, and/or other persons should be fully satisfied that they are aware of all risks involved, including those risks associated with any pre-existing medical conditions.

All persons who engage in activities, recreational or otherwise, on the premises do so at their own risk.

Children and infants must be supervised by an adult at all times.

By entering our park, it is accepted that all activities, including recreational activities, are not free from risk and that park management is not liable for any loss, damages, or injury arising from such activities.

Upon entry, it is also agreed that park management, owners, employees, and/or agents are indemnified against all claims for injury, loss, damages, or theft of property.
 

Coastline and Beach Access

This area along the coastline is Commonwealth Land and secluded beach access is at your own risk.

There is an approximately 40 metre climb down the rocks to get to the beach.

Be aware that tides change all the time and that freak waves can occur at any time.

Guests accessing the beach, coastline, cliffs, tracks, and surrounding areas do so at their own risk.

Code of Conduct

Guests are expected to respect other campers, campground property, staff, animals, wildlife, and the natural environment.

Any disruptive, unsafe, aggressive, inappropriate, or disrespectful behaviour may result in immediate eviction without a refund.

Coodlie Park Eco Retreat reserves the right to remove any guest from the property without refund if their behaviour is unsafe, disruptive, threatening, inappropriate, or in breach of these terms and conditions.

Coodlie Park Eco Retreat respects your privacy and is committed to protecting your personal information. Personal information collected during the booking process may include your name, contact details, payment details, booking details, identification details, and any information required to manage your reservation.

This information is used for booking management, guest communication, payment processing, safety, security, legal compliance, and business administration.

Coodlie Park Eco Retreat will not sell your personal information to third parties.

Your information may be shared with booking platforms, payment processors, service providers, or authorities where required for booking management, payment processing, legal compliance, safety, or security purposes.

By making a booking, you consent to Coodlie Park Eco Retreat collecting and using your personal information for these purposes.

Amendments

Coodlie Park Eco Retreat reserves the right to update or modify these terms and conditions as needed. The terms that apply to your booking are the terms in place at the time your booking is made, unless changes are required for safety, legal, insurance, operational, or emergency reasons.
 

Agreement

Ticketing & Event
Terms and Conditions

These terms and conditions apply to all ticketed events, including but not limited to stargazing tours, workshops and special events at Coodlie Park Eco Retreat.

Booking Policy

  • All event bookings are subject to availability and confirmation

  • You must be 18 years or older to purchase tickets

  • Children under 18 must be accompanied by a responsible adult at all times during events

  • By purchasing a ticket, you confirm that you have read, understood and agree to comply with these terms and conditions in full
     

Payment Policy

  • Full payment is required at the time of booking to secure your ticket

  • We accept major credit and debit cards as well as cash for in person purchases

  • Ticket prices are in Australian dollars and include GST unless otherwise stated
     

Cancellation & Refund Policy

  • All Tickets are non-refundable

  • This is a Weather-Dependent Event and is subject to suitable weathers conditions. If cloud cover, rain, or strong wind makes stargazing impossible, we will offer the guests a modified-show, a rescheduled or the choice of a credit voucher.

 

Customer Cancellations:

  • 72+ hours prior: Credit Voucher 

  • Within 72 hours or No-shows: No refund.

 

Changes or Rescheduling
If you'd like to change your booking to another available date, please contact us at least 72 hours prior to the event start time. Changes are subject to availability.

 

Ticket Conditions

  • All attendees must have a valid ticket.

  • Family Pass includes 2 adults and up to 2 children (ages 5–15). Extra children must be booked individually.

  • Under 5s are free but must be supervised by an adult at all times.

  • Tickets are non-transferable to other guests without prior approval.

 

Weather Updates

In the event of poor visibility or unsuitable weather, updates will be sent via email and/or SMS by 3:00 PM on the day of the event.

 

Guest Responsibilities

  • Please dress warmly, wear enclosed shoes, and bring a head torch (red light preferred).

  • Arrive 15 minutes early to check in and get comfortable.

  • Respect the dark-sky environment — keep noise and light to a minimum during stargazing.

 

Event Conduct and Safety

  • Guests must follow the instructions of Coodlie Park staff and tour facilitators at all times

  • Stargazing and night events take place in natural outdoor settings
    Please wear warm clothing, enclosed shoes and bring a torch

  • Walking may involve low light and uneven ground. Participation is at your own risk

  • Children must be supervised by a parent or guardian at all times
     

Liability and Risk Warning

  • Participation in any event or activity at Coodlie Park is at your own risk

  • Coodlie Park Eco Retreat is not responsible for injury, loss or damage sustained during events

  • Activities may involve natural risks including uneven terrain, low lighting, wildlife and changing weather

  • Guests with medical conditions should seek advice from a healthcare professional before taking part
     

Code of Conduct

  • Please respect other guests, staff and the natural environment

  • Disruptive, unsafe or inappropriate behaviour will result in removal from the event without refund

  • Alcohol and smoking are not permitted during guided experiences unless otherwise specified
